This Privacy Policy explains how EQV Transport, LLC (“Fuel Check,” “we,” “us,” or “our”) collects, uses, stores, and protects information when you use the Fuel Check website and service (the “Service”). Fuel Check is a business-to-business tool that helps commercial fuel buyers understand whether the price they are paying is fair relative to market benchmarks.
By using the Service, you agree to the practices described here. If you do not agree, please do not use the Service.
1.Who we are
The Service is operated by EQV Transport, LLC, a Texas limited liability company. For privacy questions, contact us at info@getfuelcheck.com.
2.What information we collect
We collect only what we need to provide the verdict and improve its accuracy.
a. Information you provide directly
- Account information: your email address and password, used to create and secure your account. Passwords are handled by our authentication provider and stored only in hashed form; we never see or store your plaintext password.
- Profile information (optional): business name, business type, current fuel supplier, delivery frequency, company size, your role, years with your supplier, phone number, and tank inventory details — only if you choose to enter them.
- Fuel check inputs: the details you enter to get a verdict, such as fuel type, delivery ZIP code, price per gallon, the date of that price, gallons per delivery, monthly gallons, supplier, and any delivery fees or surcharges.
- Uploaded documents (optional): invoices and fuel tickets you choose to upload. These may contain your business’s pricing and delivery information.
- Consent record: if you opt in to let us use your data to improve the model, we record that you consented, when, and the version of the consent text.
b. Information collected automatically
- When you run a check, we record limited technical information for security and abuse-prevention purposes: an IP identifier that has been hashed together with a secret value held only on our servers (so it cannot be turned back into your IP address by anyone who obtains the stored value), your browser’s user-agent string, and the referring page. We do not store raw IP addresses.
- An essential authentication cookie is used to keep you signed in. See Section 9.
c. Information we do not collect
- We do not collect payment card information (the core verdict is free).
- We do not knowingly collect information from anyone under 18; the Service is for business use only.
3.How we use your information
- To provide the Service: generate your fuel-price verdict and show your check history.
- To improve accuracy (“calibration”): with your consent, we use the prices, dates, and uploaded invoices/fuel tickets you provide to calibrate and improve Fuel Check’s pricing model. This is the core of how the Service gets better.
- To produce anonymized market benchmarks: we may compute aggregate, de-identified statistics (for example, typical spreads over rack in a region). We do not currently publish any such aggregate. If and when we do, it will be designed so that no individual business can be identified: we will apply a minimum-group-size threshold (k-anonymity, N ≥ 20) before any aggregate is shown publicly.
- To secure the Service: detect, prevent, and investigate abuse, fraud, and technical problems.
- To communicate with you: send account and security emails (such as email verification and password-reset messages) and, where appropriate, important service notices.
4.The legal basis / your consent
Where consent is the basis for processing (for example, using your invoices to improve the model), we rely on the opt-in consent you provide via the consent checkbox. You can withdraw that consent at any time by contacting us or deleting the relevant data; withdrawal does not affect processing already performed.
5.How we share information
We do not sell your personal information. We do not share your individual business data with fuel suppliers or any other customer.
We share information only in these limited circumstances:
- Service providers (“sub-processors”): companies that host and run the Service on our behalf, under contract and bound to protect your data. Currently:
- Supabase — database, authentication, encrypted file storage, and delivery of account emails (email verification and password-reset messages).
- Vercel — website hosting and delivery.
- Aggregated / de-identified data: as described in Section 3, in a form that does not identify you or your business.
- Legal requirements: if required by law, subpoena, or to protect the rights, safety, or property of Fuel Check or others.
- Business transfer: if the business is merged, acquired, or its assets sold, data may transfer as part of that transaction, subject to this Policy.
Note: outbound requests to public market-data sources (such as the U.S. Energy Information Administration and futures price feeds) are used to build benchmarks and do not include your personal or business information.
6.How we protect your information
Security is a core priority. Measures include:
- Row-Level Security (RLS): database rules ensure each account can access only its own profile, checks, and uploaded files.
- Private file storage: uploaded invoices live in a private storage bucket; files are never publicly listable and are reachable only by the owning account.
- Encryption: data is encrypted in transit (HTTPS) and at rest by our hosting provider.
- Access controls: administrative access is limited and protected by two-factor authentication.
No system is perfectly secure, but we work to protect your information using industry-standard practices. While Fuel Check implements appropriate technical and organizational measures to protect personal data from unauthorized access, disclosure, or misuse — including encryption, access controls, and secure storage practices — Fuel Check cannot and does not guarantee or warrant the security of any personal data. Fuel Check shall not be liable for disclosures of personal data due to errors in transmission, networks that Fuel Check does not control, or unauthorized acts of third parties.
7.How long we keep information
We retain your information for as long as your account is active or as needed to provide the Service. To limit how long sensitive documents are held, uploaded invoices and fuel tickets (the original files) are automatically deleted within 90 days of upload. The anonymized, de-identified calibration values derived from them are retained, because they can no longer be linked to you or your business. You may delete your uploaded files sooner yourself, and may request deletion of your account and associated personal data at any time (see Section 8). De-identified, aggregated data that can no longer be linked to you may be retained indefinitely.
8.Your rights and choices
- Access & correction: view and update your profile and check history in your account.
- Deletion: delete your uploaded invoices and fuel tickets yourself at any time; request deletion of your account and associated personal data by contacting info@getfuelcheck.com.
- Withdraw consent: opt out of having your data used for model improvement.
- Depending on your location, you may have additional rights under laws such as the California Consumer Privacy Act (CCPA) or the EU/UK GDPR. Because the Service is accessible over the Internet, we honor these rights where they apply to you.
To exercise any right, email info@getfuelcheck.com. We will respond within the timeframe required by applicable law.
9.Cookies
We use essential authentication cookies to keep you signed in to your account. These are set by our authentication provider and may be split across more than one cookie for technical reasons. They are strictly necessary to operate the Service.
We do not use any analytics, advertising, or cross-site tracking cookies, and the Service contains no third-party tracking scripts of any kind. When you first visit the Service, we display a cookie notice describing our use of these essential cookies.
10.Children’s privacy
The Service is intended for commercial/business use by adults (18+). We do not knowingly collect information from children.
11.Geographic scope
The Service is currently offered to commercial fuel buyers in the Detroit / SE Michigan area and is operated from the United States. If you access it from elsewhere, you consent to processing in the United States.
12.Changes to this Policy
We may update this Policy. Material changes will be posted here with a new “Last updated” date and, where appropriate, communicated to you directly.
